Running the desk

The Today page, bookings, customers, staff bookings, and what the app tells you it did not do.

Repose lives inside your Shopify admin under Apps. These are the pages your staff use.

Today

One screen for the day: every start time at the location, how many places are free at each, and who is booked in. Change the day or the location at the top. Two lines below carry the things that need a person:

  • Paid but not booked. Anyone whose payment went through while the time they were holding was taken. Ring them and book them in from here.
  • Orders with nobody attached. Orders that bought credits or a membership without a customer account, for example a guest checkout. Find the buyer and put the credits on their account yourself.

If you sell limited-run offers, Today also shows how many places each has left and which phase is running. If times are being held while someone pays, it shows how many, and lets you free them all.

Bookings

Any day at any location, everyone who is booked, and the two things staff do most: book someone in, and cancel.

Booking a regular. Search for a customer with an account and book them in using their own credits or membership, so the venue does not give away a visit every time a member rings instead of booking online.

Booking a walk-in or a group. A staff booking under a typed name for however many people and however long, with no account and no credits. It takes up the space like any other booking, so capacity stays honest, and it is free on your plan. Repeat it weekly for a term, or block out a closed afternoon, and the app shows you exactly which dates will and will not take the booking before anything is written.

Cancelling on a customer. The credit goes back to them automatically. The confirmation tells you plainly that nobody has been emailed, so you know what you still have to do yourself.

Staff can book further ahead than customers can: the operator horizon on Settings is separate from the customer one.

Customers

What a customer holds: credits by kind and expiry, their membership, their bookings, and every waiver they agreed to with the exact wording they were shown. Give or take credits with a written reason, so the history always says why a balance changed. Give a free pass, which has its own short life and is spent before bought credits.

Memberships

Who holds one, which type, whether it renews and the date they are covered to, soonest first. The one control is Mark as not renewing, described in Memberships.

Offers

Every product the app can see and what it grants. Described in Offers.

Locations

Hours, closed days, ceiling and resources for each site. Described in Locations and resources.

Settings

Cancellation notice, credit expiry, the two booking horizons, the waiver wording, the offer phase, the notification email for the venue, and the switch for holding a time before paying.

Notices

Every notice the app raised for the venue and what became of it, so you can tell “it never happened” from “it happened and nobody told me”. The automatic phase switch is one such notice. Today, notices are shown in the app; the operator email for them is not yet sending.
